The office space rental application form can be obtained by browsing the website of the Property Management Division at http://www.bph.gov.my/. Or by obtaining it in person at the Office Space Unit, Property Management Division, Prime Minister's Department at Level 7, Block F6, Parcel F Government Complex, Putrajaya.

The procedure for applying for office space rental approval is as follows:

  • Submit the JRP Form and JRP Checklist that has been completed together with the approval from the following departments:
    • Ministry of Finance Budget Division.
    • Nearby Property Valuation and Services Department.
    • Nearby Fire and Rescue Department of Malaysia.
    • Nearby Chief Security Officer of the Government Office.
    • Economic Planning Unit (Standard & Cost), Prime Minister's Department if the space exceeds 465 square meters. AND
  • Additional information such as the following:
    • Offer letter from the owner
    • Floor plan/Layout plan
    • Building images
    • Official search, a copy of the Land Ownership Registration and related documents such as rental agreement letter from the mortgage holder, sale and purchase agreement letter, power of attorney letter, rental agreement letter and so on.

The ways to apply for office space rental approval are as follows:

  • Submit the JRP form and JRP checklist that has been completed along with approvals from the following departments:
    • The Budget Division of the Ministry of Finance Malaysia
    • The Property Assessment and Services Department nearby
    • The Fire and Rescue Department of Malaysia nearby
    • The Office of the Chief Government Security Officer nearby
    • The Economic Planning Unit (Standard & Cost), Prime Minister's Department if the space exceeds 464.50 square meters (5000 square feet) AND
  •  Additional information such as the following:
    • Offer letter from the owner
    • Floor plan/Layout plan
    • Building images
    • Copy of ownership registration and related documents such as rental approval letter from the mortgage holder, sales and purchase agreement letter, power of attorney letter, rental agreement letter, and so on.

The rental period for office space is not more than 3 years and departments can apply for rental periods less than 3 years.

If the rental rate increase is 10% AND the exact amount is RM300 or more per month,the department needs to obtain approval from the Budget Division, Ministry of Finance Malaysia. If it is less, approval from the Ministry of Finance is not required.

The office space rental rate is only for the empty space. Departments must comply with the effective financial regulations for furniture acquisition and renovation.

If the department does not receive support from either of the relevant departments, it must look for alternative office spaces to rent.
